Hensall Co-op is seeking a dynamic individual to become an integral member of our team at the Exeter location. The Administrative Assistant – Accounts Payable is responsible for performing the day-to-day processing of accounts payable transactions to ensure finances are maintained in an effective, up to date, and accurate manner.

Job Duties and Responsibilities:

  • Setup and maintain supplier information and records
  • Stamp supplier invoices with supplier number, entry date, due date, HST amount, department(s), GL-accounts(s), amounts, etc.
  • Calculate expense allocations between departments using pre- determined amounts and/or percentages
  • Help with the conversion of Accounts Payable processes in a new software – Sage Intacct
  • Post/enter accounts payable invoices into Hensall Co-op's own TW System and into Sage Intacct
  • Gather/organize invoices due for weekly cheque run
  • Enter and issue manual on-demand cheques, including wire transfers
  • Ensure all entries are made and assist with month-end close
  • Copy accounts payable fixed assets for capex file
  • Sort and file Hensall Global Logistic FB’s and verify approvals
  • Prepare monthly accrual listing for utilities and services
  • Update AP-type audit entries descriptions and check reasonableness to GL expense accounts
  • Ensure appropriate payments for suppliers are done in a timely manner in accordance with suppliers’ terms
  • Review credit balances and collect if necessary
  • Investigate payment problems and verify transactions follow Hensall Co-op accounts payable and other financial policies and procedures
  • Ensure strict confidentiality and privacy of financial records as they relate to the organization and its business partners
  • Other financial/accounting duties as assigned

 

Job Requirements:

  • Ability to ensure/maintain confidentiality concerning financial files
  • Attention to detail and high level of accuracy in preparing and entering financial information
  • Ability to prioritize tasks to ensure deadlines are met as required
  • High level computer skills including ability to operate computerized accounting software and MS Word, Excel and PowerPoint
  • Solid demonstrated understanding of basic bookkeeping and accounting principles

 

Required Qualifications:

  • Post-Secondary education in accounting, finance, or business administration program
  • 5+ years of experience in accounting environment
  • Previous experience in an A/P role is an asset
